Onboarding

Welcome to Voze!

To get started, we need you to fill out three tabs in the Voze Setup spreadsheet: User List, Customizations, and Account List Import. We'll guide you through each one below, but feel free to reach out to your CSM if you have any questions.

1. User List Import

  • First Name, Last Name, Email, Cell phone, Position/Title
  • License Type: Inside or Outside
    • Inside users primarily use the web app and won’t be recording notes: Managers, Inside Reps, Counter Reps, etc.. 

    • Outside users (such as field reps) will be recording notes.

  • Reports to
    • We’ll use this to build the reporting structure. Each user should have at least one manager, but multiple managers can be listed if needed.

  • Location Name or #
    • How are your territories structured? We’ll align Voze with your setup—just provide the name or number of each Territory/Region

  • Salesperson ID #
    • If you’re integrating with another system, there’s usually an ID assigned to each user. Include that here. If there’s no integration, you can leave this blank.
  • Account Visibility
    • Choose how you want user to access accounts:
      • All: Full visibility into all accounts.
      • Assigned + Direct Reports: Can see accounts across multiple rep territories.
      • Assigned Only: Users can only see accounts in their territory.

2. Customizations

  • Tailor Voze to your processes by using Note Types, Note Details, and Company Labels.
    • Note Types (How the contact was made – one per note)
      • Examples: Phone, Email, In-Person, Text. We recommend 3-5 options.

    • Note Details (What was done during the visit – multiple per note)
      • What key actions do you want to track? Consider what your reps should already be doing during each visit. We recommend 5-8 options.

    • Company Labels

      • Categorize accounts by Type, Status, Industry, etc.

Once this is set up, you’ll have clear insights into how your team is spending their time. For example, if you’re targeting specific accounts or industries, you can ensure reps are focusing their efforts accordingly.

3. Account List Import

If you already have a system tracking customers, prospects, etc., export that data and send it to us—we’ll handle the import.

The spreadsheet below provides an example of the fields we typically import, but don’t worry if your system uses different fields—just send us what you have!
