No hidden tiers here — Voze integrates through Zapier, and that's true whether you run HubSpot, Salesforce, or another CRM in Zapier's directory. The Zap lives in your Zapier account. Your team builds it, controls what flows, and can change it anytime. And we'll help you confirm your fields and get the mapping right before you build.

How the connection works

Zapier is the engine.

It moves your company, contact, and notes data between Voze and your CRM. We don't build or host a direct connection — the Zap lives in your Zapier account, where your team owns it.

What syncs

Three objects. That's the whole list — on purpose.

Voze keeps the sync focused on the data reps actually generate and use in the field, so your CRM stays the system of record for everything else.

Data direction

Companies and contacts go both ways. Notes flow out.

A lot of field tools only push data out — your reps feed a system that gives nothing back. With Voze, companies and contacts move in both directions, so reps see current CRM info and your CRM stays current with the field. Notes are the exception: they flow out of Voze only. You can't create a Voze note from another system.

The Zap lives in your Zapier account, so your team builds and owns it — typically someone with admin access to both your CRM and Zapier. Plan on looping in your IT or ops folks. Your Voze contact will walk your team through the whole thing.

Set up Zapier

Create a Zapier account, or use one your team already has. You'll need a paid plan — HubSpot and Salesforce are Premium apps on Zapier, so a free account won't connect to them. Zapier bills you directly, separate from your Voze subscription.

Connect both sides

Find Voze in Zapier's app directory, then authorize Voze and your CRM so Zapier can talk to each. This is where an admin login for both systems comes in.

Build your Zap and turn it on

Map your fields, choose what flows in each direction, and turn syncing on. Most of the real work is deciding what should flow — the connection itself is the easy part.

What Voze stays out of

Voze stays focused on field activity. Your CRM stays focused on pipeline.

The fastest way for a sales tool to lose its rep audience is to start duplicating their CRM. Voze deliberately stops at the edge of pipeline management. Here's exactly where the line is — so you know what to expect before you sign.

No deal or pipeline sync

Voze doesn't push or pull deals, opportunities, or stages.

Deal stages, forecasting, quote-to-cash — those stay in your CRM where they belong. Voze sends over what your reps capture in the field — the context that should inform pipeline — but the pipeline itself isn't ours to own.

No real-time, sub-second sync

Sync is fast — seconds to a few minutes — but not instant.

Zapier delivers in seconds to a few minutes depending on the trigger. If your use case needs sub-second latency (rare for field-sales workflows), Voze isn't the right fit for it yet.

No retroactive backfill

Sync starts the moment you turn it on.

Bringing your historical companies and contacts into Voze is a separate one-time step — get our team a flat file of your accounts and contacts, and we'll get it loaded into your Voze instance before the Zap takes over.

No task or follow-up sync

Tasks live inside Voze.

Voze creates tasks and follow-up reminders from voice notes, but they don't sync with your CRM's task system.

Account-wide sync, not sliced

You can't sync just one territory, team, or rep.

Sync covers all records on the account, per object — all companies or none, all contacts or none, all notes or none. If you need finer slicing, talk to us about your workflow before you commit.

The principle: Voze captures what happens in the field. Your CRM owns the pipeline. Each system does what it's best at.

Voze's Zapier app is the connection point. Most CRMs in Zapier's directory connect cleanly — some less-common systems expose fewer fields or actions, so we'll confirm yours before you build.

Questions your RevOps lead will ask.

How long does it take to connect HubSpot or Salesforce?
The connection itself is the quick part — the real work is deciding what should flow and mapping your fields so records match up cleanly. Plan for a working session with whoever admins your CRM and Zapier, not a five-minute click-through. Your Voze contact will help you plan the mapping before you build.
What about systems beyond our CRM — our DMS or ERP?
It depends on the system. Being in Zapier's directory doesn't guarantee a clean sync — different apps expose different fields and actions. Tell us what you run and we'll confirm what's realistic for your setup before anyone commits to anything.
Does our IT team need to be involved?
Usually, yes — and that's a good thing. The Zap lives in your Zapier account, and setup takes admin access to both your CRM and Zapier, which typically means an IT or ops person. We'll work with them to make sure data is flowing the way you expect.
Can we filter what gets sent — by territory, team, or rep?
Not today. Sync is account-wide — all companies, all contacts, all notes. You can turn a whole object on or off (companies but not contacts, say), but there's no slicing by territory, team, or rep. If that matters for your setup, bring it up early and we'll talk through your workflow.
What's the data direction — does Voze read from our CRM too?
Companies and contacts sync both ways — reps see current CRM info, and your CRM stays current with the field. Notes are one-way: they flow out of Voze into your CRM. You can't create a Voze note from another system.
Who pays for Zapier?
You do — Zapier bills you directly, separate from your Voze subscription. Each record it moves counts as a task against your Zapier plan, so sync volume is worth factoring into which plan you pick. Voze minimizes how often it pushes to help keep that cost down.
Do we need this to use Voze?
No. Voze works fully on its own — the CRM sync is optional.
Who do we call if a sync breaks?
Check the Zap's run history in Zapier first — that's where errors show up. If the data looks wrong on the Voze side, your Voze contact can help.
What if we already have a sales intelligence tool — does Voze conflict?
No. Those tools research and score accounts. Voze captures what actually happens at the visit. Different jobs, no overlap.
What about security?
Zapier authenticates with secure OAuth and API credentials and only accesses the systems you authorize. For Voze's own security and data handling details, ask your Voze contact — we'll share documentation during your technical review.
