A customer tells you what they need, you say you'll follow up, and by Friday the details are gone. That's how follow-ups get dropped, and it isn't about effort. To log sales visits by voice, say who you saw, what they need, and what you promised, in about 30 seconds, before you drive off. Tap Save and go. Voze finishes the note in the background and keeps it in your notes for your next visit. If you call these voice notes, you're in the right place.

If you jot visits on a notepad or in your phone today, that's fine. Start there. This post covers the simple version first, then what happens to the note after you stop talking.

What to say in 30 seconds

Three lines. That's the whole script.

  1. Who and where. The person and the account.
  2. What they need. The one thing they asked for or worried about.
  3. What you promised, and by when. Say the day out loud.

Here's what that sounds like with made-up names:

"Visit with Dana at Ridgeline Fleet. Two of her trucks are down for the same brake issue and she wants a price on a bulk order. I told her I'd send a quote by Friday. @Marcus, can you check stock on the brake kits?"

That took about 20 seconds. The last line tags a coworker by first name, so the person who needs to act on it hears about it without you writing a second message.

What happens to the note after you tap Save

You don't wait around. After you tap Save, you can walk back to the truck. Voze keeps working on the note while you drive.

  • The note shows up in My notes marked Note processing.
  • In the background, Voze transcribes what you said, pulls out the task, and routes your @mentions to the people you named.
  • When it's done, the note updates in place.
  • Several notes can process at the same time, so back-to-back visits don't line up behind each other.

Your job was the visit. The record keeps moving without you. (Details are in the Voze release notes from Oct. 7, 2026.)

Before and after: the same visit, spoken and recorded

This is what to look for when you open the note in My notes. The example uses the visit above, with demo data.

What you saidWhat to look for on the record
"Visit with Dana at Ridgeline Fleet"The visit, in your words, in the note text
"Two trucks down, wants a price on a bulk order"The need, in your words, in the note text
"I'll send a quote by Friday"A task for you, with the promise you made
"@Marcus, can you check stock?"Marcus gets the mention

You spoke once. The note, the task, and the handoff to Marcus all came from that one pass.

Using the note at your next visit

Next time you're headed to Ridgeline Fleet, open My notes and find the last visit. You walk in knowing what Dana asked for and what you said you'd do. Opening with "Did the brake kit quote work for you?" lands very differently than "So, how are things?"

Voze also pulls the follow-up out as a task, so the promise you made at the last stop doesn't depend on you remembering it. Customers notice when a rep does what they said they'd do. (For the rep's view, see what Voze shows a rep at the stop.)

If it goes wrong

Noisy truck cab, a name that's hard to say, two coworkers with the same first name. It happens, and the fix is one tap.

  • Voze can't tell which person you meant. The note is flagged Unresolved mention, and you get an alert titled A Note Requires Review. Open the note, and Who did you mean? shows the possible matches. Pick the right one and save.
  • You'd rather read it before it saves. Turn on Review before saving on the save screen and check the text first.
  • You spot a mistake later. Edit the note from its detail page.

Nobody has to get it perfect on the first try. Say it plainly, save it, and fix what needs fixing.

For managers: what the record gives you

If you lead a field team, the same note is the record you work from. You see what customers asked for, account by account, without chasing reps for a recap. Reps see their own gaps first, and you step in to help. The notes exist because they make the rep's next visit easier.

Frequently asked questions

How do I log a sales visit by voice?

Record a short note before you leave the stop. Say who you saw, what they need, and what you promised and by when. Tap Save and move on. Voze transcribes the note, pulls out the task and routes your @mentions in the background.

Can I tag a coworker in a voice note?

Yes. Say @ and their first name in the note, and Voze routes the mention to that person in the background. If two coworkers match, the note is flagged and Who did you mean? shows the options. Pick the right one and save.

What if the app mishears a name?

If Voze can't tell which person you mean, it flags the note as an Unresolved mention. Open it, and Who did you mean? shows the possible matches. Pick the right person, save, and you're done.

Do I have to review every note before it saves?

No. Reviewing is your choice. Turn on Review before saving if you want to read the text first. Otherwise, save and go, then edit later from the note's detail page if anything needs a fix.

Does it work with the system my team already runs?

Yes. Voze connects through Zapier to the systems teams already run, and we build a custom connection for larger teams. Dealers get DMS integrations: Voze is a preferred partner of Procede, Karmak, and MaddenCo, and works with CDK.
